Terms & Conditions for Open Chair

1. Eligibility


1.1 Age Requirement

All Participants must be eighteen (18) years of age or older at the time of Registration.

1.2 Individual and Team Participation

Participants may enter the Competition individually or as part of a Team.

Teams may consist of up to the maximum number of Participants specified in the Competition Brief, including the Team Leader.

Each Team Member shall be considered a Participant for the purposes of these Terms & Conditions and shall be bound by them.

A Team Leader must be designated during Registration. The Team Leader shall act as the authorised representative of the Team and as the primary point of contact between the Team and the Organiser.

The Team Leader shall be responsible for communications with the Organiser, submission of the Entry, compliance with validation and verification requirements under these Terms & Conditions, and Prize distribution to the Team Members in connection with the Competition.

The Organiser may conclusively rely upon communications, instructions, confirmations, declarations, representations, decisions, and information provided by the Team Leader on behalf of the Team and shall have no obligation to obtain confirmation from individual Team Members.

By participating as part of a Team, each Team Member authorises the Team Leader to act on their behalf in connection with the administration of the Competition.

Any dispute between Team Members relating to authorship, attribution, ownership of intellectual property, recognition, allocation of responsibilities, distribution of any Prize, or any other matter relating to the Team shall be resolved solely between the Team Members. The Organiser shall not be responsible for, nor involved in, the resolution of such disputes.

1.3 Affiliation Restrictions

The following persons are not eligible to participate in the Competition:

·         client employees, directors, officers, shareholders, contractors, consultants, and representatives of the Organiser as well as service providers, client of the Organiser;

·         Jury Members appointed for the Competition;

·         individuals directly involved in the administration, assessment, operation, or management of the Competition; and

·         immediate family members of any such person.

For the purposes of this Section, immediate family members include spouses, civil partners, partners, parents, children, siblings, and any other person residing in the same household.

For the purposes of these Terms & Conditions, Affiliates include Jury Members, Partners, Sponsors, consultants, contractors, service providers, competition-specific collaborators, and any other individuals or entities engaged by or working with the Organiser in connection with the Competition.

The Organiser reserves the right to determine eligibility where an actual, potential, or perceived conflict of interest may arise.

1.4 Sanctions Compliance

Participants must not be subject to sanctions, trade restrictions, asset freezes, export controls, financial restrictions, or other legal prohibitions that would prevent participation in the Competition, receipt of a Prize, or any other interaction with the Organiser.

Participants are not eligible to participate where participation would breach applicable laws, regulations, sanctions regimes, banking restrictions, or compliance obligations applicable to the Organiser.

This may include, without limitation, individuals who are ordinarily resident in, located in, organised under the laws of, or otherwise connected to jurisdictions that are subject to sanctions or trade restrictions imposed by the United Kingdom, including but not limited to:

·         the Russian Federation;

·         the Islamic Republic of Iran;

·         the Democratic People's Republic of Korea;

·         the Syrian Arab Republic;

·         the Republic of Belarus;

·         the Republic of the Union of Myanmar;

·         the Bolivarian Republic of Venezuela;

·         the Republic of Sudan;

·         the Republic of Yemen; and

·         the Ukrainian regions of Crimea, Sevastopol, Donetsk and Luhansk.

The above list is provided for guidance only and is not exhaustive.

Sanctions regimes, legal restrictions, banking requirements, and compliance obligations may change at any time. The Organiser reserves the right to reassess eligibility throughout the Competition and to apply any additional restrictions, eligibility requirements, or compliance measures that may be required by applicable law, regulation, governmental action, financial institutions, payment providers, insurers, or other compliance obligations.

The Organiser shall not be required to provide evidence, legal analysis, or justification supporting a sanctions-related eligibility decision where disclosure would itself create legal, regulatory, compliance, operational, or confidentiality concerns.

Further verification and validation requirements are set out in Section 4 (Validation & Verification).

1.5 Accuracy of Information

Participants must ensure that all information provided in connection with the Competition is complete, accurate, truthful, and up to date.

The Organiser may rely upon such information for the administration and operation of the Competition.

False, misleading, incomplete, inaccurate, outdated, or fraudulent information may result in action being taken under Section 8 (Conduct, Exclusion, Disqualification & Withdrawal).



2. Registration


2.1 Registration Platform

Participation in the Competition requires Registration through the official Competition Platform (found at creathlon.co.uk) before the Registration Deadline specified in the Competition Brief.

Registrations submitted through any other platform, website, communication channel, or method shall not be valid unless expressly authorised by the Organiser.

Registration constitutes acceptance of these Terms & Conditions.

2.2 Registration Requirements

Registration is available only to individuals.

Companies, organisations, partnerships, universities, studios, practices, associations, governmental bodies, charities, or other legal entities may not register as Participants, Team Leaders, or contracting parties to the Competition.

Where a Team is registered, the Registration must identify all Team Members and designate a Team Leader in accordance with Section 1.2 (Individual and Team Participation).

Participants may identify employers, organisations, companies, universities, brands, studios, practices, or other affiliations for attribution, publication, biographical, informational, or promotional purposes.

Such affiliations shall not become Participants, contracting parties, beneficiaries of any Prize, or parties to these Terms & Conditions solely by being identified in connection with an Entry.

2.3 Registration Fee

Registration requires payment of the Registration Fee specified in the Competition Brief.

Registration Fees may vary depending on:

·         the Registration period, including early, standard, and late Registration phases; and

·         the type of Entry, including individual and Team Entries.

All fees are stated and payable in GBP (£).

Participants are responsible for any taxes, currency conversion costs, bank charges, transfer fees, payment processing fees, or other charges imposed by third parties.

Registration shall only become valid upon successful receipt of payment by the Organiser.

Further provisions relating to payments and refunds are set out in Section 9 (Fees, Payments & Refunds).

2.4 Registration Information

Participants must provide complete, accurate, truthful, and up-to-date information during Registration.

The Organiser reserves the right to request additional information where reasonably necessary for the administration of the Competition.

Validation and verification requirements are set out in Section 4 (Validation & Verification).

2.5 Multiple Entries

Multiple Entries are permitted unless otherwise stated in the Competition Brief.

Each Entry must:

·         be registered separately;

·         be assigned a unique TEAMID; and

·         be accompanied by payment of the applicable Registration Fee.

Participants submitting multiple Entries must ensure that each Entry is materially distinct.

The Organiser reserves the right to reject, merge, remove, or otherwise take action in respect of duplicate, substantially identical, repetitive, or abusive submissions.

2.6 TEAMID and Registration Confirmation

Upon successful Registration, the Participant or Team Leader will receive:

·         a unique TEAMID via email;

·         Registration confirmation via email; and

·         payment confirmation receipt via email.

The TEAMID must be used in accordance with the Competition Brief and any instructions issued by the Organiser.

Participants are responsible for maintaining the confidentiality and security of their TEAMID.

The Organiser shall not be responsible for any loss, misuse, disclosure, unauthorised use, or incorrect use of a TEAMID.

The Organiser reserves the right to suspend, replace, invalidate, or reissue a TEAMID where reasonably necessary for the administration, security, integrity, or operation of the Competition.

2.7 Registration Amendments

Requests to amend Registration information must be submitted in writing.

The Organiser may approve or refuse any amendment request at its discretion.

As a general rule, amendments will not be accepted after the Submission Deadline except where the Organiser determines that a minor administrative correction is appropriate and would not affect:

·         eligibility;

·         anonymity;

·         evaluation;

·         validation;

·         publication; or

·         Prize administration.

Changes to the identity of a Participant, Team Leader, or Team composition may be refused where they may affect the integrity, fairness, anonymity, administration, evaluation, or operation of the Competition.

2.8 Technical Issues

Participants are responsible for ensuring that Registration is completed successfully before the Registration Deadline.

Any technical issue affecting Registration must be reported in accordance with Section 11 (Communications).

The Organiser will use reasonable efforts to assist Participants who report issues in a timely manner but does not guarantee that issues reported shortly before a deadline can be resolved before that deadline.

Participants remain responsible for allowing sufficient time to complete Registration before any applicable deadline.



3. Entries & Submissions


3.1 Originality and Responsibility

Participants need to ensure that their Entry and subsequent Submission is their own original work.

Submission of an Entry does not guarantee evaluation, shortlisting, publication, recognition, review by the Jury, or receipt of a Prize.

Requirements relating to intellectual property, permissions, ownership, and third-party rights are set out in Section 6 (Intellectual Property & Usage Rights).

3.2 Artificial Intelligence and Assisted Content

The use of artificial intelligence (AI), machine learning systems, large language models (LLMs), generative tools, computational design tools, automation tools, or similar technologies is permitted unless otherwise restricted by the Competition Brief.

Participants must exercise meaningful creative control, direction, and decision-making over the development of their Entry. Entries must represent the Participant's own creative work, judgement, and design intent, and must not consist solely or predominantly of content automatically generated by such tools without substantial human input.

Participants remain solely responsible for all content submitted, including content generated, modified, assisted, influenced, or supported by such tools.

The Organiser reserves the right to request information regarding the use of AI or other automated systems in the preparation of an Entry, including the nature and extent of such use.

Failure to provide such information where reasonably requested may result in action under Section 8 (Conduct, Exclusion, Disqualification & Withdrawal).

3.3 Submission Requirements

Entries must comply with all requirements specified in:

·         the Competition Brief;

·         the Competition Platform;

·         submission instructions issued by the Organiser; and

·         any supplementary guidance published or communicated by the Organiser.

Such requirements may include, without limitation:

·         file formats;

·         file size limitations;

·         naming conventions;

·         submission methods;

·         presentation requirements;

·         mandatory deliverables; and

·         Competition-specific technical requirements.

Participants are responsible for ensuring that their Entries comply with all applicable requirements.

The Organiser reserves the right to reject, exclude, or decline to evaluate any Entry that does not comply with applicable submission requirements.

3.4 Anonymity

Where anonymity is required by the Competition Brief, Entries must be submitted anonymously.

Participants must not include any information that may reasonably identify the Participant, Team Members, employer, organisation, brand, affiliation, or any other identifying characteristic.

Only the assigned TEAMID may appear on submission materials where required by the Competition Brief.

Participants must not attempt to influence, contact, communicate with, or disclose their identity to Jury Members, Assessors, Affiliates, Partners, Sponsors, or representatives of the Organiser in relation to the evaluation process.

3.5 Submission Deadline

Entries must be received through the Competition Platform before the Submission Deadline specified in the Competition Brief.

Late submissions shall not be accepted unless the Organiser expressly and publicly announces an extension as described in Section 11 (Communications).

The Organiser reserves the right to extend any deadline where reasonably necessary for operational, technical, administrative, legal, regulatory, or fairness-related reasons.

Any extension shall be communicated through the Platform or other official Competition communications.

Submission deadlines will not be brought forward.

3.6 Participant Responsibility

Participants are responsible for allowing sufficient time to prepare, upload, review, and complete their Submission before the Submission Deadline.

The Organiser does not guarantee the availability of technical support, administrative assistance, or issue resolution immediately before a deadline.

Participants are responsible for ensuring that all required materials have been successfully uploaded, submitted, and remain accessible, complete, readable, and free from corruption or technical defects.

3.7 Multiple Versions and Resubmission

Where multiple versions of an Entry are submitted before the Submission Deadline, only the latest valid version received before the Submission Deadline will be considered.

The Organiser shall have no obligation to review, compare, merge, reconcile, combine, or otherwise consider earlier versions of an Entry.

3.8 Withdrawal of Entries

Entries may be withdrawn before the Submission Deadline by written notice to the Organiser.

After the Submission Deadline, Entries may only be withdrawn with the prior written consent of the Organiser.

Approval of any withdrawal request shall be entirely at the Organiser's discretion.

Withdrawal of an Entry shall not automatically entitle a Participant to a refund or other compensation.

3.9 No Submission

Where no Entry is received before the Submission Deadline, the Registration shall be treated as inactive and the Participant's involvement in the Competition shall automatically cease.

No refund, extension, compensation, alternative opportunity, or other benefit shall arise as a result of a failure to submit an Entry.



4. Validation & Verification


4.1 Right to Verify

The Organiser reserves the right to verify the identity, eligibility, compliance, authorship, Team composition, participation status, ownership, intellectual property rights, permissions, licences, approvals, and lawful use of any materials submitted by any Participant, Team, Team Leader, Shortlisted Entry, potential Winner, or Prize recipient at any stage of the Competition.

Verification may be conducted before, during, or after Evaluation, publication of Results, or announcement of Winners.

4.2 Information and Documentation

The Organiser may request any information or documentation reasonably required to:

·         verify identity;

·         verify age;

·         verify country of residence;

·         verify Team composition;

·         verify eligibility;

·         verify compliance with these Terms & Conditions;

·         verify ownership, authorship, permissions, licences, or rights relating to an Entry;

·         verify eligibility for a Prize;

·         satisfy legal, regulatory, banking, payment processing, sanctions, insurance, audit, or compliance requirements; or

·         administer the Competition.

Such documentation may include identification documents, proof of residence, declarations, licences, permissions, authorisations, banking information, or other supporting materials reasonably required by the Organiser. For further details of how this is processed please refer to our Privacy Policy in respect to GDPR.

4.3 Participant Cooperation

Participants must cooperate with all reasonable validation and verification requests made by the Organiser.

Failure to provide requested information or documentation within fourteen (14) consecutive days of request shall constitute a failure to satisfy the applicable validation and verification requirements and may result in:

• exclusion from further Evaluation;
• removal from a shortlist;
• withholding of publication;
• withdrawal of Recognition;
• refusal or withdrawal of a Prize; or
• any other action permitted under Section 8 (Conduct, Exclusion, Disqualification & Withdrawal).

Where the requested information or documentation is required for the determination of eligibility, shortlisting, Evaluation, Recognition, Results, Winner selection, Prize administration, or compliance with any Competition deadline, failure to provide such information or documentation within the fourteen (14) day period shall entitle the Organiser to take any of the above actions where it reasonably considers such action necessary for the administration, integrity, operation, or timeline of the Competition.

The Organiser may extend the response period where it considers it reasonable to do so.

4.4 Team Verification

Where an Entry is submitted by a Team, the Organiser may require confirmation of:

·         Team composition;

·         participation of Team Members;

·         authority of the Team Leader to act on behalf of the Team; and

·         compliance of all Team Members with these Terms & Conditions.

The Organiser may rely upon information and declarations provided by the Team Leader unless it reasonably believes additional verification is required.

4.5 Ownership, Authorship and Rights Verification

The Organiser may request evidence demonstrating ownership, authorship, permissions, licences, approvals, consents, or rights relating to any Entry or Submission materials.

The Organiser is not responsible for determining ownership disputes between Participants, Team Members, employers, collaborators, contributors, clients, universities, Sponsors, or any other third parties.

Where a dispute arises, the Organiser may suspend evaluation, publication, recognition, validation, Prize administration, or any other Competition activity relating to the Entry until the matter is resolved to the Organiser's reasonable satisfaction.

4.6 Prize Verification

Before awarding, transferring, or processing any Prize, the Organiser may require additional information, documentation, declarations, confirmations, or banking details.

Prize administration may be withheld until all validation requirements have been satisfied.

The Organiser shall not be required to process any Prize payment where it reasonably believes that legal, regulatory, sanctions, anti-money laundering, fraud prevention, banking, payment processing, or compliance requirements have not been satisfied.

4.7 Continuing Verification

The Organiser reserves the right to conduct verification at any stage of the Competition, including after publication of Results, award of recognition, or announcement of Winners.

Where information subsequently comes to light that would have affected eligibility, evaluation, publication, recognition, validation, or Prize entitlement, the Organiser may take action under Section 8 (Conduct, Exclusion, Disqualification & Withdrawal).



5. Evaluation & Assessment


5.1 Competition Evaluation Process

The Competition may be conducted in one or more stages.

All Entries may be subject to review, assessment, moderation, screening, shortlisting, validation, verification, or other evaluation processes determined by the Organiser.

Submission of an Entry does not guarantee progression to any subsequent stage of the Competition, review by the Jury, publication, recognition, shortlisting, or receipt of a Prize.

Only Entries selected by the Organiser may proceed to subsequent stages of evaluation or be submitted to the Jury.

5.2 Assessment by the Organiser

The Organiser may undertake an assessment of Entries before submission to the Jury.

The purpose of such assessment may include determining:

·         eligibility;

·         compliance with these Terms & Conditions;

·         compliance with the Competition Brief;

·         completeness of the Submission;

·         suitability for evaluation;

·         quality of the Entry;

·         originality;

·         relevance to the Competition objectives;

·         readiness for Jury review;

·         shortlisting; and

·         progression within the Competition.

Assessment may consider any criteria identified in these Terms & Conditions, the Competition Brief, the Competition Platform, or other Competition materials.

The Organiser may limit the number of Entries submitted to the Jury where reasonably necessary due to the volume of Entries received, operational requirements, administrative requirements, or the effective management of the Competition.

The Organiser may determine that an Entry will not proceed to subsequent stages of the Competition and reserves the right to exclude Entries from further evaluation where they fail to satisfy mandatory requirements or where the Organiser reasonably determines that the Entry is unsuitable for progression.

The Organiser is under no obligation to submit every Entry to the Jury.

5.3 Assessors

The Organiser may appoint Assessors to assist with the assessment, review, moderation, screening, shortlisting, validation, verification, evaluation, or administration of the Competition.

Assessors may act independently or alongside the Organiser.

The Organiser may appoint, replace, remove, or reassign Assessors at any time where reasonably necessary for the administration or operation of the Competition.

5.4 Shortlisting

The Organiser may establish one or more shortlist stages.

Only Entries selected by the Organiser may proceed to subsequent stages of evaluation or be submitted to the Jury.

The Organiser reserves the right to determine:

·         the number of Shortlisted Entries;

·         the composition of any shortlist;

·         the criteria applied during shortlisting; and

·         whether a shortlist is required for a particular Competition.

The Organiser may decide not to shortlist any Entry where it reasonably considers that no Entry satisfies the objectives, standards, requirements, or evaluation criteria of the Competition.

5.5 Jury

The Organiser will appoint a Jury to evaluate Shortlisted Entries.

The Jury may consist of industry professionals, academics, Partner representatives, Sponsor representatives, Affiliates, subject matter experts, or other individuals selected by the Organiser.

The Organiser may appoint, remove, replace, or modify the composition of the Jury at any time where reasonably necessary for the administration, operation, fairness, integrity, or conduct of the Competition.

The Organiser does not guarantee the participation, availability, or level of involvement of any individual Jury Member.

Changes to the Jury shall not invalidate the Competition and shall not give rise to any refund, compensation, or claim.

5.6 Jury Evaluation

Shortlisted Entries shall be evaluated by the Jury in accordance with the Competition Brief and any evaluation framework established by the Organiser.

The Organiser may provide:

·         evaluation criteria;

·         assessment guidance;

·         scoring systems;

·         moderation procedures;

·         evaluation tools; and

·         administrative support

to assist the Jury.

The Jury may consider any criteria identified in the Competition Brief or otherwise communicated by the Organiser.

The Jury shall remain independent in its assessment of Shortlisted Entries.

Where a Jury Member withdraws, becomes unavailable, fails to complete assessments, or is unable to participate, the Organiser may appoint a replacement, redistribute assessments, moderate results, or take any other reasonable action necessary to complete the evaluation process.

5.7 Evaluation Methodologies

The Organiser and the Jury may utilise qualitative, quantitative, comparative, objective, subjective, weighted, ranked, moderated, consensus-based, or other assessment methodologies.

The Organiser reserves the right to determine the methodology used in any Competition.

Different stages of evaluation may utilise different methodologies.

The Organiser is not required to disclose scoring systems, weightings, methodologies, evaluation frameworks, moderation procedures, ranking systems, internal assessment processes, deliberations, decision-making processes, assessment records, evaluation records, Jury comments, or other information relating to the Evaluation process beyond any evaluation criteria, categories, or information expressly published in the Competition Brief.

5.8 Deliberations and Evaluation Records

Assessment records, evaluation records, moderation records, Jury deliberations, rankings, scores, comments, recommendations, notes, working papers, and internal communications relating to the evaluation process are confidential.

The Organiser is under no obligation to disclose such information to Participants or third parties.

5.9 Feedback Requests

The Organiser is under no obligation to provide:

·         feedback;

·         scores;

·         rankings;

·         assessment reports;

·         Jury comments;

·         evaluation records; or

·         explanations for evaluation outcomes.

Any feedback or evaluation information that may be provided shall be provided entirely at the Organiser's discretion.

5.10 Results

Results may be published through the Competition Platform or other official Competition communications.

Participants are responsible for monitoring Competition communications relating to Results.

The Organiser reserves the right to delay publication of Results where reasonably necessary for validation, verification, operational, technical, legal, regulatory, administrative, compliance, or evaluation purposes.

5.11 Awards and Recognition

The Organiser reserves the right not to award any Prize, category, distinction, Honourable Mention, shortlist position, or other recognition where, in its reasonable opinion:

·         the quality of Entries does not justify such recognition;

·         an insufficient number of suitable Entries has been received;

·         validation requirements have not been satisfied; or

·         awarding such recognition would otherwise be inconsistent with the objectives, standards, integrity, or operation of the Competition.

In circumstances where the Competition concludes without the award of any Prize, category, distinction, Honourable Mention, shortlist position, or other Recognition, the Competition may be terminated in accordance with Section 13.3 (Termination of the Competition) and any applicable refunds shall be administered in accordance with Section 9 (Fees, Payments & Refunds).

5.12 Final Decisions

Subject to applicable law, decisions relating to assessment, shortlisting, evaluation, moderation, ranking, recognition, awards, Results, and Competition outcomes shall be made by the Organiser together with the Jury.

Such decisions shall be final except in the case of manifest administrative error.



6. Intellectual Property & Usage Rights


6.1 Ownership

Participants and Team Members retain ownership of all intellectual property rights in their Entries and Submission materials.

Nothing in these Terms & Conditions transfers ownership of any intellectual property rights from a Participant or Team Member to the Organiser.

6.2 Participant Warranties

Each Participant represents and warrants that:

·         they possess all rights, permissions, licences, approvals, authorities, and consents necessary to submit the Entry;

·         the Entry does not knowingly infringe the intellectual property rights, confidentiality obligations, contractual obligations, moral rights, privacy rights, or other rights of any third party;

·         all necessary permissions have been obtained from Team Members and contributors;

·         any third-party materials included within the Entry have been used lawfully and with appropriate permission where required; and

·         the Entry complies with these Terms & Conditions and the Competition Brief.

Participants remain solely responsible for their Entries and Submission materials.

6.3 Licence to the Organiser

By submitting an Entry, Participants grant the Organiser a non-exclusive, irrevocable, worldwide, royalty-free, perpetual licence (except where limited by applicable law) to:

·         use;

·         reproduce;

·         publish;

·         display;

·         communicate;

·         distribute;

·         archive;

·         store;

·         adapt;

·         translate; and

·         make available

the Entry and Submission materials, in whole or in part, for the purposes of:

·         administering the Competition;

·         evaluating Entries;

·         operating the Competition Platform;

·         promoting the Competition;

·         documenting Competition activities;

·         publishing Competition outcomes; and

·         promoting future competitions and related activities.

The Organiser may exercise these rights directly or through Affiliates, Partners, Sponsors, contractors, service providers, publishers, media partners, and other third parties acting on the Organiser’s behalf in connection with the Competition or general business activities.

6.4 Attribution

The Organiser will use reasonable efforts to identify and credit Participants, Team Leaders, Team Members, and any affiliations identified during Registration when publishing or displaying Entries.

The Organiser may rely upon information supplied by Participants and shall not be responsible for inaccuracies, omissions, outdated information, or failures by Participants to update attribution information.

The Participant acknowledges that attribution may not always be possible due to formatting constraints, publication requirements, technical limitations, editorial decisions, or third-party publication practices.

6.5 Editorial Rights

The Organiser may make reasonable editorial modifications to Submission materials for publication, exhibition, promotional, archival, administrative, accessibility, technical, or operational purposes.

Such modifications may include:

·         formatting;

·         resizing;

·         cropping;

·         compression;

·         translation;

·         correction of typographical errors;

·         adaptation for different media formats; and

·         preparation for publication or exhibition.

The Organiser shall not materially alter the substance of an Entry without reasonable justification.

6.6 Publication and Recognition

Submission of an Entry does not guarantee publication, exhibition, promotion, inclusion in Competition outputs, shortlisting, recognition, or receipt of any Prize.

The Organiser reserves the right, at its sole discretion, to:

·         publish;

·         promote;

·         exhibit;

·         feature;

·         archive;

·         remove; or

·         decline to publish

any Entry, whether shortlisted, awarded or recognised.

The Organiser is under no obligation to publish any Entry, Shortlisted Entry, Honourable Mention, category winner, or Prize recipient. However, the Organiser will use reasonable efforts to publish the Results and winning Entries in a manner it considers appropriate for the administration, transparency and integrity of the Competition.

The Organiser may determine the timing, format, duration, prominence, location, extent, and manner of publication, exhibition, promotion, display, or removal of any Entry in its sole discretion.

The Organiser may remove previously published materials where it reasonably considers such action necessary to protect the quality, integrity, reputation, operation, objectives, or interests of the Competition, the Organiser, its Affiliates, Participants, Partners, Sponsors, Jury Members, or the public.

Participants acknowledge that publication or exhibition of Entries may result in public discussion, commentary, criticism, analysis, media coverage, academic review, inspiration, imitation, archiving, or other third-party activity beyond the Organiser's reasonable control.

Publication, exhibition, promotion, visibility, publicity, media coverage, or recognition shall not constitute a Prize, benefit, entitlement, or contractual obligation.

6.7 Additional Rights

This Competition is intended to create and maintain an open-access repository of Entries to promote open-design, public accessibility, knowledge sharing, research, innovation, and home fabrication.

Accordingly, the following provisions govern the publication, storage, and use of Entries and Submission materials, including their availability to the public for non-commercial purposes and their use by the Organiser, Partners, Affiliates, and other authorised third parties for research, analysis, development, and artificial intelligence-related activities as described below.

(a) Open-Access Publication

Participants agree that, unless they exercise the opt-out described in Section 6.7(d), Submission materials may be published by the Organiser within open-access repositories, archives, libraries, publications, educational resources, research collections, or similar platforms.

Where Submission materials are published under this Section, they shall be made available under the Creative Commons Attribution–NonCommercial–ShareAlike 4.0 (CC BY-NC-SA) which ca be reviewed here: https://creativecommons.org/licenses/by-nc-sa/4.0/deed.en

Participants acknowledge and agree that:

·  the Team Leader and all Team Members identified at Registration shall be credited as the authors of the published Submission materials;

·  such attribution shall be included alongside the published materials in accordance with the requirements of the applicable Creative Commons licence, except where modification is necessary to comply with applicable law or the reasonable technical limitations of the publication platform;

·  members of the public may access, copy, reproduce, distribute, share, and adapt the published Submission materials for non-commercial purposes, provided that they comply with the terms of the applicable Creative Commons licence, including attribution of the authors and distribution of adaptations under the same licence where required.

The Organiser shall have no obligation to publish, maintain, host, or continue to make available any Entry where it reasonably considers that publication, hosting, or continued availability may create safety risks, facilitate harmful, unlawful, dangerous, or irresponsible use, be technically unsuitable, or otherwise be inconsistent with the objectives, integrity, reputation, or operation of the Competition. A Submission to the Competition does not guarantee that your Submission materials will be published.

Participants acknowledge that once Submission materials are publicly released under the applicable Creative Commons licence, they may be copied, referenced, shared, archived, redistributed, or adapted by third parties in accordance with that licence, and that such use may occur beyond the Organiser's reasonable control. Please refer to section 6.7(e) for Organiser’s limitations of liability.

 (b) Research, Development and Artificial Intelligence Rights

Where specified in the Competition Brief, Participants grant the Organiser, Competition-Specific Affiliates, and Partners a non-exclusive, worldwide, royalty-free, perpetual licence to use Submission materials, whether individually or in combination with other data, materials, Entries, datasets, or sources, for:

• research;
• analysis;
• testing;
• validation;
• benchmarking;
• development;
• training;
• evaluation;
• improvement; and
• commercial exploitation

of artificial intelligence systems, machine learning systems, software products, computational tools, datasets, research outputs, and related technologies.

The Organiser may publish a list of Competition-Specific Affiliates or Partners on the Competition Platform and/or within the Competition Brief.

For the avoidance of doubt:

• the licence permits commercial use of technologies, systems, software, datasets, models, research outputs, and products developed using Submission materials;
• the licence permits training, evaluation, testing, validation, and improvement of artificial intelligence systems and related technologies; and
• the licence does not permit the sale, licensing, or commercial exploitation of an Entry itself as a standalone design, project, proposal, or creative work without separate permission from the relevant rights holders.

(c) Personal Data

The rights granted under this Section apply only to Submission materials and do not authorise processing of personal data except in accordance with applicable data protection legislation and Section 10 (Data Protection & Privacy).

You acknowledge that the Team members’ names will be published within the copyright license as described in section 6.7(a) to identify authorship.

(d) Refusal of Additional Rights

Participants who do not agree to the additional rights described in this Section 6.7 may notify the Organiser in writing no later than the Submission Deadline as per Section 11 (Communications).

Where such notice is received, the Participant's Entry shall remain eligible for Evaluation, Recognition, and Prizes in accordance with these Terms & Conditions, but the rights described in Section 6.7 shall not apply to that Entry.

Accordingly, the Organiser may exclude such Entry from any open-access repository, publication programme, research programme, artificial intelligence programme, dataset, archive, or other activity requiring the rights described in this Section.

No refund, compensation, alternative benefit, or other entitlement shall arise solely because an Entry is excluded from activities governed by this Section.

The Organiser publishes Submission materials under the licence described in Section 6.7(a) for the purpose of open-access, knowledge sharing, education, and research. The Organiser does not undertake to monitor, police, investigate, detect, or enforce compliance by third parties with the applicable licence terms, copyright law, or other intellectual property rights.

Participants acknowledge that, once Submission materials are publicly released, they may be copied, mirrored, archived, redistributed, or otherwise made available by third parties beyond the Organiser's reasonable control.

The Organiser shall have no obligation to:

monitor or identify unauthorised use, misuse, infringement, or licence violations;

issue takedown notices, cease-and-desist correspondence, or other enforcement communications;

commence, participate in, or fund legal proceedings relating to any alleged infringement or misuse;

recover damages, royalties, licence fees, or other compensation on behalf of any Participant; or

provide legal advice, representation, or assistance in connection with the enforcement of intellectual property rights.

Responsibility for enforcing copyright, licence terms, moral rights, or other intellectual property rights in relation to Submission materials shall remain solely with the relevant rights holders.

To the fullest extent permitted by applicable law, the Organiser, its Affiliates, Partners, officers, employees, volunteers, contractors, and agents shall not be liable for any unauthorised use, infringement, misattribution, licence violation, or other act or omission of any third party occurring after publication of Submission materials, except to the extent resulting directly from the Organiser's own intentional misconduct or gross negligence where such limitation of liability is not prohibited by applicable law.



7. Prizes


7.1 Prize Structure

Prizes shall be as described in the Competition Brief unless otherwise amended by the Organiser and communicated through the Competition Platform or official Competition communications.

The Organiser reserves the right to:

·         introduce additional Prize categories;

·         increase the value of advertised Prizes;

·         introduce additional awards, commendations, distinctions, or Honourable Mentions; or

·         amend Prize allocations where reasonably necessary for the administration of the Competition.

All Prizes are stated in GBP (£) unless otherwise specified.

Honourable Mentions, commendations, shortlist positions, and similar forms of recognition do not constitute Prizes unless expressly stated otherwise.

7.2 Award of Prizes

Prizes shall be awarded to the Participant or Team identified through Registration and may require validation in accordance with Section 4 (Validation & Verification).

Where an Entry is submitted by a Team, any Prize shall be awarded to the Team through the Team Leader acting as the authorised representative of the Team.

The Organiser shall have no responsibility for the distribution, allocation, division, or administration of any Prize between Team Members.

Any arrangement regarding the distribution or allocation of a Prize shall be the responsibility of the Team Leader and the Team Members and shall be governed solely by agreement between the members of the Team.

The Organiser may rely upon instructions, declarations, and information provided by the Team Leader for the purposes of Prize administration and shall not be required to investigate, determine, or resolve any dispute between Team Members relating to the allocation or distribution of a Prize.

7.3 Non-Transferability

Prizes are non-transferable and non-exchangeable.

Participants may not assign, transfer, sell, nominate, redirect, or otherwise dispose of any Prize entitlement.

7.4 Winner Notification

Potential Winners may be notified using the contact information provided during Registration for validation purposes. Winners will be publicly announced on our Platform

Participants are responsible for ensuring that their contact information remains accurate and up to date.

The Organiser shall not be responsible for any failure to receive notifications resulting from:

·         inaccurate contact information;

·         spam or email filtering systems;

·         technical issues; or

·         circumstances outside the Organiser's reasonable control.

7.5 Acceptance of Prizes

Potential Winners may be required to:

·         confirm acceptance of a Prize;

·         provide information required for validation, publication, administration, or payment;

·         execute declarations, confirmations, releases, acknowledgements, tax forms, or other documents reasonably required by the Organiser; and

·         provide banking or payment information required for Prize administration.

Failure to respond within fourteen (14) consecutive days of notification will result in forfeiture of the Prize.

The Organiser reserves the right to withdraw, reallocate, or decline to award any forfeited Prize.

7.6 Conditions of Prize Award

Award of any Prize remains subject to:

·         compliance with these Terms & Conditions;

·         successful completion of validation requirements under Section 4 (Validation & Verification);

·         continued eligibility of the Participant; and

·         compliance with any applicable legal, regulatory, sanctions, banking, payment processing, or compliance requirements.

The Organiser reserves the right to withhold, withdraw, revoke, or reallocate any Prize where these requirements are not satisfied.

7.7 Payment of Cash Prizes

Cash Prizes shall be paid in accordance with Section 9 (Fees, Payments & Refunds).

The Organiser will use reasonable efforts to process Prize payments within a reasonable period following completion of validation requirements.

The Organiser shall not be responsible for delays arising from:

·         incomplete or inaccurate information supplied by Participants;

·         banking restrictions;

·         payment processing requirements;

·         legal or regulatory obligations; or

·         circumstances outside the Organiser's reasonable control.

Participants are solely responsible for any taxes, duties, reporting obligations, withholding requirements, or other liabilities arising from receipt of a Prize unless applicable law requires otherwise.

7.8 Publication of Winners

Publication of Winners, Shortlisted Entries, Honourable Mentions, and other Competition outcomes shall be governed by Section 6 (Intellectual Property & Usage Rights).

The Organiser reserves the right to publish, withhold, amend, remove, or update Competition results, recognition, and related materials where reasonably necessary.

7.9 Recognition and Award Decisions

Awards, distinctions, Honourable Mentions, shortlist positions, and other forms of recognition shall be determined in accordance with Section 5 (Evaluation & Assessment).

Nothing in this Section shall require the Organiser to provide any Prize, category, distinction, Honourable Mention, Recognition, benefit, payment, reimbursement, expense, or other award beyond those expressly described in the Competition Brief.

The Organiser's obligations relating to a Prize shall be deemed fulfilled once the Prize has been awarded, paid, withdrawn and reallocated in accordance to clauses 7.4 to 7.6 , or otherwise administered in accordance with these Terms & Conditions.



8. Conduct, Exclusion, Disqualification & Withdrawal


8.1 Participant Conduct

Participants are expected to act honestly, professionally, lawfully, and in good faith throughout the Competition.

Participants must not engage in conduct that:

·         undermines the fairness, integrity, operation, reputation, or objectives of the Competition;

·         interferes with the Evaluation process;

·         disrupts the activities of the Organiser, Jury, Assessors, Affiliates, Partners, Sponsors, Participants, or third parties;

·         breaches applicable laws or regulations; or

·         otherwise conflicts with these Terms & Conditions.

8.2 Prohibited Conduct

Without limitation, the Organiser may take action under this Section where a Participant:

·         breaches these Terms & Conditions or the Competition Brief;

·         provides false, misleading, incomplete, inaccurate, outdated, or fraudulent information;

·         engages in plagiarism or misrepresents authorship;

·         infringes intellectual property rights, confidentiality obligations, contractual obligations, or other third-party rights;

·         attempts to manipulate, interfere with, influence, circumvent, or undermine the Competition process;

·         improperly contacts, influences, or attempts to influence Jury Members, Assessors, Affiliates, Partners, Sponsors, or representatives of the Organiser in relation to the Evaluation process;

·         engages in unlawful, abusive, threatening, discriminatory, defamatory, dishonest, unethical, or disruptive conduct;

·         breaches applicable sanctions, legal, regulatory, or compliance requirements; or

·         otherwise acts in a manner that may reasonably damage the integrity, reputation, or operation of the Competition.

In cases of Prohibited Conduct, the Organiser reserves the right to exclude or disqualify any Participant, Team, or Entry involved in such conduct without refund of any Registration Fees paid.

8.3 Organiser Rights

Where the Organiser reasonably believes that grounds exist under this Section, it may take any action it considers reasonably necessary to protect the Competition, including:

·         issuing warnings;

·         requesting clarification or additional information;

·         suspending a Participant, Team, or Entry pending further review;

·         suspending Evaluation of an Entry;

·         removing an Entry from consideration;

·         excluding a Participant or Team from the Competition;

·         disqualifying an Entry;

·         removing an Entry from a shortlist;

·         withholding publication;

·         withdrawing Recognition;

·         withholding, withdrawing, revoking, or reassigning a Prize;

·         removing previously published materials; or

·         prohibiting future participation in competitions organised by the Organiser.

The Organiser may take such action before, during, or after Evaluation, publication of Results, or award of a Prize.

8.4 Team Responsibility

Where an Entry is submitted by a Team, the conduct of any Team Member may be treated as conduct of the Team.

Where the actions of one or more Team Members give rise to action under this Section, the Organiser may take action against the entire Team, the affected Team Member, or both.

8.5 Withdrawal of Recognition and Awards

The Organiser reserves the right to withdraw, revoke, remove, amend, or reassign any:

·         Prize;

·         award;

·         distinction;

·         Honourable Mention;

·         shortlist position;

·         publication;

·         Recognition; or

·         Competition outcome

where it subsequently becomes aware of information that would reasonably have affected eligibility, Evaluation, Validation, publication, or award decisions.

This right shall continue after publication of Results and after completion of the Competition.

8.6 Reputation and Integrity

The Organiser reserves the right to refuse to publish, promote, continue to feature, remove, withdraw, or otherwise associate itself with any Participant, Team, Entry, Winner, Shortlisted Entry, or recognised Entry where it reasonably considers that doing so may:

·         damage the reputation of the Competition;

·         damage the reputation of the Organiser or its Affiliates, Partners or Jury Members;

·         undermine public confidence in the Competition; or

·         otherwise conflict with the objectives, standards, or integrity of the Competition.

The Organiser's decisions under this clause shall be made reasonably and in good faith.

8.7 No Obligation to Proceed

Nothing in these Terms & Conditions requires the Organiser to continue evaluating, promoting, publishing, recognising, awarding, or otherwise supporting any Entry where action is taken under this Section.

8.8 Finality of Decisions

Any decision made by the Organiser under this Section shall be made reasonably and in good faith and shall be final except in the case of manifest administrative error.



9. Fees, Payments & Refunds


9.1 Registration Fees

Participation in the Competition requires payment of the Registration Fee specified in the Competition Brief.

Registration Fees may vary depending on:

·         the Registration period, including early, standard, and late Registration phases;

·         the type of Entry; and

·         any other pricing structure described in the Competition Brief.

All fees are stated in GBP (£).

Payment of a Registration Fee does not guarantee shortlisting, Jury review, publication, recognition, or receipt of a Prize.

9.2 Payment of Registration Fees

All Registration Fees must be paid using the payment methods made available through the Competition Platform.

Registration shall only become valid upon successful receipt of payment by the Organiser.

The Organiser reserves the right to reject, suspend, cancel, or invalidate any Registration where payment is:

·         incomplete;

·         reversed;

·         disputed;

·         subject to chargeback;

·         fraudulent;

·         unauthorised; or

·         otherwise invalid.

9.3 Costs and Charges

Participants are responsible for any:

·         currency conversion costs;

·         bank charges;

·         intermediary banking fees;

·         transfer fees;

·         payment processing charges;

·         taxes; or

·         other charges

imposed by financial institutions, payment providers, governments, or third parties in connection with Registration Fees, refunds, or Prize payments.

The Organiser shall not be responsible for such charges.

9.4 Consumer Cancellation Rights

Where applicable consumer protection legislation grants a right to cancel Registration, Participants may exercise such rights in accordance with applicable law.

Where a Participant is entitled to cancel Registration and receive a refund, the Participant must notify the Organiser in accordance with Section 11 (Communications).

9.5 Refunds

Except where expressly stated in these Terms & Conditions or required by law, Registration Fees are non-refundable.

Refunds may be issued where:

·         required by applicable law;

·         the Competition is cancelled by the Organiser before completion; or

·         the Organiser expressly agrees to provide a refund.

No refund shall be provided solely because:

·         a Participant decides not to participate;

·         has been subject to action under Section 8 (Conduct, Exclusion, Disqualification & Withdrawal);

·         an Entry is not submitted;

·         an Entry is not shortlisted;

·         an Entry is not reviewed by the Jury;

·         an Entry does not receive a Prize or Recognition; or

·         a Participant is excluded, disqualified, or otherwise found to be in breach of these Terms & Conditions.

9.6 Cancellation of the Competition

If the Competition is cancelled by the Organiser before completion, the Organiser will use reasonable efforts to refund Registration Fees paid by Participants.

Refunds shall normally be issued using the original payment method where reasonably practicable.

The Organiser shall not be responsible for delays or restrictions arising from banking systems, payment providers, legal requirements, sanctions restrictions, or circumstances outside its reasonable control.

9.7 Prize Payments

Prize payments shall be administered in accordance with Section 7 (Prizes) and remain subject to the validation requirements set out in Section 4 (Validation & Verification).

Cash Prizes shall be paid in GBP (£) unless otherwise specified by the Organiser.

The Organiser shall not be responsible for any reduction in value arising from:

·         currency exchange fluctuations;

·         intermediary banking fees;

·         sending and receiving bank charges; or

·         payment processing fees imposed by third parties.

9.8 Processing Times

The Organiser will use reasonable efforts to process refunds and Prize payments within a reasonable period following completion of any applicable validation, verification, administrative, legal, regulatory, banking, or compliance requirements.

The Organiser does not guarantee any specific processing timeframe however we aim to provide the payment no later than 6 months from the Winners official announcement specified in the Competition Brief or otherwise amended by a time extension.

9.9 Discounts and Promotional Offers

The Organiser may, at its discretion, offer discounts, promotional codes, vouchers, or other promotional offers.

Unless expressly stated otherwise:

·         such offers may only be used once;

·         only one promotional offer may be applied to a Registration;

·         promotional offers have no cash value;

·         promotional offers are non-transferable; and

·         promotional offers cannot be applied retrospectively after payment has been completed.

The Organiser reserves the right to withdraw, amend, suspend, or refuse any promotional offer where misuse, error, fraud, unauthorised distribution, or abuse is suspected.



10. Data Protection & Privacy


The Organiser will process personal data in accordance with applicable General Data Protection Regulation (GDPR) and the Organiser's Privacy Policy.

By participating in the Competition, Participants acknowledge that personal data may be collected, used, stored, shared, and otherwise processed where reasonably necessary for:

·         administration and operation of the Competition;

·         Registration and Submission management;

·         communication with Participants;

·         Evaluation and Validation activities;

·         publication of Results and Competition outcomes;

·         Prize administration;

·         fraud prevention, security, and compliance activities; and

·         compliance with legal, regulatory, contractual, and other applicable obligations.

Where an Entry is submitted by a Team, the Team Leader confirms that Team Members have been informed of the processing of their personal data in connection with the Competition.

Further information regarding the collection, processing, storage, sharing, retention, international transfers, and protection of personal data is available in the Organiser's Privacy Policy.



11. Communications


11.1 Communications from the Organiser

The Organiser may communicate with Participants through:

·         the Competition Platform;

·         the email address provided during Registration; or

·         any other contact details provided by the Participant at Registration.

Communications published on the Competition Platform may be deemed official Competition communications.

Participants are responsible for monitoring Competition communications and ensuring that their contact details remain accurate and up to date.

11.2 Communications from Participants

Participants must communicate with the Organiser using the contact details specified on the Competition Platform. Unless otherwise stated, Competition-related communications should be sent to info@creathlon.co.uk.

Contact forms, enquiry forms, feedback forms, or other communication tools available on the Organiser's website are not intended for Competition-related communications unless expressly stated otherwise.

Where a Participant submits Competition-related communications through such forms or unofficial communication channels, the Organiser does not guarantee receipt, review, acknowledgement, or response, and shall not be responsible for any delay, missed deadline, or other consequence arising from the use of such channels.

11.3 Participant Responsibility

Participants are responsible for:

·         monitoring their email account;

·         checking spam, junk, quarantine, and filtered email folders;

·         maintaining access to the email address provided at Registration;

·         ensuring that their contact details remain accurate and up to date; and

·         responding to Competition communications within any applicable deadlines.

The Organiser shall not be responsible for missed communications resulting from inaccurate contact information, email filtering systems, technical issues, or circumstances outside its reasonable control.

11.4 Technical and Administrative Issues

Participants must report technical or administrative issues affecting Registration, Submission, Validation, Prize administration, or other Competition activities as soon as reasonably practicable.

The Organiser will use reasonable efforts to assist Participants who report issues in a timely manner but does not guarantee that issues reported shortly before a deadline can be resolved before that deadline.

11.5 Response Times

The Organiser aims to respond to enquiries within a reasonable period but does not guarantee any specific response time.

Failure by the Organiser to respond immediately shall not extend any Competition deadline, create any entitlement, or affect the operation of the Competition unless expressly confirmed by the Organiser in writing.

11.6 Receipt of Communications

Communications sent by the Organiser to the contact details provided by a Participant, shall be deemed received regardless of whether the Participant has actually read, accessed, downloaded, acknowledged, or responded to them.

Participants are responsible for ensuring that they remain able to receive and access Competition communications throughout the Competition.




12.1 Amendments to the Competition

The Organiser reserves the right to amend, supplement, interpret, clarify, extend, suspend, postpone, or cancel the Competition where reasonably necessary.

Any material changes will be communicated through the Competition Platform or other official Competition communications.

Where a change materially affects Participants, the Organiser will use reasonable efforts to provide notice.

12.2 Force Majeure

The Organiser shall not be liable for any delay, disruption, suspension, modification, or failure to perform any obligation arising from circumstances beyond its reasonable control.

Such circumstances may include:

·         natural disasters;

·         acts of government;

·         war;

·         terrorism;

·         civil unrest;

·         public health emergencies;

·         labour disputes;

·         cyber incidents;

·         technical failures;

·         interruption of utilities or communications services; or

·         actions or omissions of third-party service providers.

12.3 Termination of the Competition

The Organiser reserves the right to terminate, discontinue, withdraw, cancel, suspend, or conclude the Competition without the award of any Prize, category, distinction, Honourable Mention, shortlist position, or other Recognition where it reasonably considers such action necessary for the administration, operation, integrity, viability, objectives, legal compliance, or commercial sustainability of the Competition.

Termination may occur before, during, or after Registration, Submission, Evaluation, Validation, publication of Results, or any other stage of the Competition.

Where the Competition is terminated, the Organiser shall administer any applicable refunds in accordance with Section 9 (Fees, Payments & Refunds).

Termination of the Competition shall not give rise to any entitlement to compensation, damages, loss of opportunity, loss of reputation, anticipated Prize, anticipated Recognition, anticipated publication, or any other claim against the Organiser except where required by applicable law.

The Organiser will use reasonable efforts to notify Participants of any termination through the Competition Platform or other official Competition communications.

12.4 Limitation of Liability

Nothing in these Terms & Conditions excludes or limits liability where such liability cannot lawfully be excluded or limited.

Subject to the above, the Organiser, its directors, officers, employees, contractors, Affiliates, Jury Members, Assessors, Partners, Sponsors, and representatives shall not be liable for any indirect, consequential, incidental, special, economic, reputational, punitive, or exemplary loss arising from or in connection with the Competition.

The Organiser's total aggregate liability arising from or in connection with the Competition shall not exceed the Registration Fee paid by the Participant in relation to the relevant Entry.

12.5 No Personal Liability

No director, officer, employee, contractor, Jury Member, Assessor, Affiliate, Partner, Sponsor, or representative of the Organiser shall bear any personal liability in connection with the organisation, administration, Evaluation, operation, modification, suspension, cancellation, or outcome of the Competition.

12.6 Governing Law

These Terms & Conditions and any dispute arising out of or in connection with the Competition shall be governed by and interpreted in accordance with the laws of England and Wales.

12.7 Disputes

Participants agree to make reasonable efforts to resolve any dispute with the Organiser amicably and, where appropriate, to attempt resolution through mediation or another form of alternative dispute resolution before commencing legal proceedings.

The Organiser shall not be required to participate in disputes between Participants, Team Members, employers, collaborators, contributors, clients, universities, Sponsors, or other third parties.

Where such disputes affect the administration of the Competition, the Organiser may take any action permitted under these Terms & Conditions.

12.8 Severability

If any provision of these Terms & Conditions is found to be invalid, unlawful, or unenforceable, the remaining provisions shall continue in full force and effect.

12.9 Entire Agreement

These Terms & Conditions, together with the Competition Brief, Privacy Policy, and any documents expressly incorporated by reference, constitute the entire agreement between the Organiser and the Participant in relation to the Competition.

12.10 Interpretation

Unless the context requires otherwise:

·         references to the singular include the plural and vice versa;

·         references to a person include an individual, company, partnership, organisation, institution, governmental authority, or other legal entity;

·         references to a Section are references to a section of these Terms & Conditions;

·         references to a Clause are references to a specific clause under a Section of these Terms & Conditions

·         references to applicable law include any statute, regulation, rule, code, order, sanction, governmental requirement, or regulatory obligation; and

·         the words "including", "include", and similar expressions shall be interpreted as meaning "including without limitation".

12.11 Definitions

For the purposes of these Terms & Conditions:

"Affiliate" means any individual or entity engaged by, appointed by, contracted with, collaborating with, supporting, advising, sponsoring, assessing, promoting, administering, or otherwise involved in the Competition on behalf of or in cooperation with the Organiser, including Jury Members, Partners, Sponsors, consultants, contractors, service providers, and competition-specific collaborators.

"Assessment" means any review, screening, evaluation, moderation, scoring, ranking, comparison, shortlisting, verification, or other assessment activity undertaken by the Organiser, Assessors, or Jury.

"Assessor" means any individual appointed by the Organiser to review, assess, screen, moderate, shortlist, verify, or otherwise evaluate Entries prior to, alongside, or independently of the Jury.

"Competition" means the competition governed by these Terms & Conditions, the Competition Brief, and any official Competition communications issued by the Organiser.

"Competition Brief" means the official document published by the Organiser describing the Competition objectives, requirements, deadlines, deliverables, evaluation criteria, Prizes, and other Competition-specific requirements.

"Confidential Information" means any non-public information relating to the Competition, including Assessment materials, Evaluation records, Jury deliberations, Validation information, unpublished Results, and any other information identified as confidential or which would reasonably be considered confidential.

"Entry" means a Submission that has been successfully registered and assigned a valid TEAMID.

"Evaluation" means the overall process through which Entries are reviewed, assessed, moderated, shortlisted, ranked, considered for Recognition, and considered for Prizes or other Competition outcomes.

"Honourable Mention" means a non-monetary form of Recognition awarded at the discretion of the Organiser or Jury.

"Jury" means the panel appointed by the Organiser to evaluate Shortlisted Entries and assist in determining Competition outcomes.

"Jury Member" means an individual appointed by the Organiser to serve on the Jury.

"Organiser" means Creathlon Limited, a company registered in England and Wales under company number 15453647.

"Participant" means any individual participating in the Competition, whether entering individually or as a Team Member.

"Partner" means any organisation, institution, company, association, university, commercial entity, or other third party formally associated with the Competition.

"Platform" means the website (creathlon.co.uk), portal, software platform, or digital system designated by the Organiser for Registration, Submission, communication, Evaluation, publication, or administration of the Competition.

"Prize" means any monetary award or other reward expressly identified as a Prize in the Competition Brief.

"Recognition" means any shortlist position, distinction, commendation, Honourable Mention, publication, feature, award, acknowledgement, or other form of non-monetary recognition granted in connection with the Competition.

"Registration" means the process by which a Participant enters the Competition and accepts these Terms & Conditions.

"Registration Fee" means any fee payable to participate in the Competition as specified in the Competition Brief.

"Results" means any shortlist, ranking, award, Recognition, publication, announcement, or Competition outcome determined by the Organiser or Jury.

"Shortlisted Entry" means an Entry selected by the Organiser to proceed to a subsequent stage of Evaluation.

"Sponsor" means any individual or entity providing funding, support, resources, services, products, benefits, or other assistance in connection with the Competition.

"Submission" means all materials submitted by a Participant in response to the Competition Brief, including documents, images, drawings, diagrams, models, presentations, datasets, text, audiovisual materials, software, code, and other content as specified in the Competition Brief.

"TEAMID" means the unique identifier assigned to an Entry following successful Registration.

"Team" means two or more Participants entering the Competition together under a single TEAMID.

"Team Leader" means the Participant designated during Registration to act as the authorised representative of a Team.

"Terms & Conditions" means these Terms & Conditions, together with the Competition Brief and any documents expressly incorporated by reference.

"Third Party" means any person or entity that is not the Organiser, a Participant, an Affiliate, a Partner, a Sponsor, an Assessor, or a Jury Member.

"Validation" means the process by which the Organiser verifies identity, eligibility, compliance, ownership, authorship, Team composition, Prize entitlement, or any other matter relevant to the administration of the Competition.

"Winner" means a Participant or Team awarded a Prize in accordance with these Terms & Conditions.
